Executive Secretary (1-year renewable contract – Top Tier global healthcare Co)

Our client is a leading healthcare manufacturer and they are now looking for an Executive Secretary to join them.


Responsibilities:

Key Responsibilities

  • Provide executive support to the GM while managing day-to-day office operations, events, vendor relationships, and administrative processes to ensure a smooth, efficient workplace


Executive Support

  • Manage GM calendar, schedule meetings, prepare agendas and minutes, arrange travel and visa application

  • handle expense claims and basic financial/admin tasks, and accompany the GM to meetings and events as required


Company Events and Logistics

  • Plan and coordinate company-wide events and key meetings (townhalls, leadership meetings, kick-offs, offsites), manage venues, catering, vendors, budgets, and on-site logistics      


Office Administration

  • Oversee daily office operations and supplies, liaise with building management and vendors, manage onboarding/offboarding logistics (access cards, name cards, lockers), maintain admin budget tracking, and supervise the onsite Administrative Assistant


Vendor and Procurement Management

  • Create and manage vendor accounts, support purchase orders (PO) and payments, maintain vendor agreements and service arrangements


Project and Marketing Backup (when needed)

  • Provide project coordination and administrative support to commercial/ marketing team, including KPI tracking and action item follow-up


Ad-hoc duties

  • Undertake other tasks and projects as assigned by the GM


Requirement:

  • University degree holder in Business Administration or related discipline

  • Minimum 5 years' experience of secretary/ Executive Assistant experience, ideally from fast paced and MNC environment

  • Strong command of English, Cantonese, and Mandarin (spoken and written)

  • Proficient in Microsoft Office Suite (Outlook, Word, Excel), Experience using SAP Concur is a plus

  • Excellent interpersonal skills with the ability to collaborate effectively with all levels of staff and external contacts.

  • Personal Attributes: Able to thrive under pressure, manage multiple priorities, and adapt quickly to changing demands

  • Immediate available is preferred
